In an increasingly digitized world, digitization of paper is an ever-increasing challenge. Especially because we have to deal with confidential documents quickly and efficiently. Therefore Arvato came up with a mobile solution: the Scan-Truck. Arvato goes to their customers with the Scan-Truck and digitizes paper documents – which generally are of confidential nature – on-site.
The Scan-Truck is equipped with 11 workstations containing the IRISXtract™ document classification and data capture software and a high-performance scanner that can digitize up to 100,000 sheets per day.
For clients this means that their documents no longer need to leave the company premises and can be accessed at all times during the digitization process. An additional advantage is that by digitizing, companies save money and protect the environment.
It all starts with the arrival of the Scan-Truck at your offices. The Arvato employees will ask you to direct them to the files and will then drive these paper documents in special containers to the Scan-Truck, which is only accessible to authorized persons. This is where the digitization service begins.
The documents are prepared for processing by removing staples and smoothening eventual folds so they are ready to be scanned. They are then scanned in by the high-performance scanner and transferred to a workstation equipped with the IRISXtract™ Digital Mailroom solution. IRISXtract™ will classify documents into categories: invoices, contracts, … Finally, in the last phase, the documents are handed back to you in the digital format of your choice, e.g. PDF/A, TIFF, …
